Task Assignment Emails

Users can receive email notifications when they are assigned to work items -- to-dos, milestones, and roadblocks. Similarly, if resources are swapped (replaced) the new assignee will get notified.

To avoid duplicate emails, Basecamp, GitHub and JIRA users should avoid enabling Task Assignment emails for Milestones and To-Dos. Roadblocks are unique to Roadmap so enabling them will not create duplicate emails.
Configuring Task Assignment Emails
  • You must be an admin
  • Go to Notifications > Task Assignments and enable for your account
  • Enable for each work item type, set the delivery timeframe, and an optional reminder email
  • Enable Milestones to receive overall project leadership (level) assignments

Dependency Emails

Notify project owners and task assignees when their parent project or parent task is completed or when date intervals among inter-project dependencies are changed. Go to Account Settings > Notifications to configure.

Custom Notification "Trigger" Emails

Users can receive email notifications for all types of custom events or triggers, including non-Roadmap users. Examples include:

  • New project is created
  • Project Health changes, or changes to something specific (e.g. "Critical")
  • Selection type project attribute changes, or changes to something specific
  • Yes / no type project attribute changes
  • To-do or roadblock is marked as complete
  • Date type project attribute changes
  • Resource has an upcoming Team Calendar event (i.e. out of the office)
  • Use interested parties & custom notifications (see below) to keep non-Roadmap users updated


Creating Custom Notification "Trigger" Emails
  • You must be an admin
  • Go to Notifications > Custom Notifications and enable for your account
  • Create a new notification
  • Select a trigger
  • Set the delivery timeframe (for the alert)
  • Add recipients
  • Give the notification a name

Daily Agenda Emails

The Daily Agenda email should look like:

Status Report Emails

Roadmap can automatically send a customizable status report email. The email content is based on the columns displayed on the Projects Tab > Status Report view.


Go to Account Settings > Features to configure. Select the days you want it to get delivered. Selecting no days, in effect, disables the feature.


The Status Report email should look like:

The recipients are determined either on the Project 360 > Settings or the Resource 360 > Subscriptions pages:
